Appointment Reminder Phone Call Scripts
A phone call is the one reminder that is hard to ignore, but only if the words are right. These scripts are written to be read aloud, or read out by an automated voice. Keep them short, and say the date and time twice.
1. Live call (someone answers)
Hello, this is a reminder from [Business]. You have an appointment on [Day, Date] at [Time]. That is [Day, Date] at [Time]. If you need to change it, please call us back on [Phone]. Thank you, and we look forward to seeing you.
2. Voicemail (no answer)
Hi [First name], this is [Business] with a reminder about your appointment on [Date] at [Time]. If that no longer works, give us a call on [Phone] and we will find another time. Thanks.
3. Confirm by keypress (automated)
This is a reminder from [Business]. Your appointment is on [Date] at [Time]. To confirm, press 1. To reschedule, press 2, and we will call you back. To hear this again, press 9.
4. Second attempt (first call missed)
Hello, [Business] again with a reminder we could not reach you about earlier. Your appointment is [Date] at [Time]. Please call [Phone] if anything has changed. Thank you.
